Stand construction: these are the costs you need to consider

Whether you have registered your company for a trade fair and are all set to start preparing; or you are still in the orientation phase and would like to take note of what you need to set aside in terms of budget – trade fair participation involves more costs than just the stand construction itself. Below, we list a number of cost items that can help you prepare adequately.

The fair itself

The stand at the fair and everything around it, is the biggest expense. First, you have the cost of the stand itself. The price of this can be higher or lower depending on the location of the fair. In addition, there is the stand rental, which depends on the amount of m2 you rent. Electricity and water consumption are also part of the expense. Furthermore, you can think about possible insurance against, for example, theft.

It is also a good idea to think about your presence at the fair. Are you planning on having catering, for example, or are you giving away goodie bags? Then, of course, there will be additional costs.

Staff at the trade fair

Of course, you cannot leave the stand unmanned. You need to think about the number of staff you want on the trade fair floor, but also about the experience they have. Do they have enough knowledge to represent your company, or do they need additional training? In addition, they also need to come to the venue, so any travel and accommodation costs come into play.

 

Marketing

Since participating in the fair is already quite an investment, you naturally want people to show up who could potentially become new customers. Good marketing beforehand is half the battle, and a successful trade fair participation can serve as good marketing for the follow-up process.

How do you save costs?

When it comes to your stand itself, you can save some money by renting stand components rather than buying them. When doing this, though, think about the trade fairs you will be attending in the future and how quickly they follow up on each other. If you plan to attend fairs regularly, buying is more economical in the long run.
